AI tools can sometimes misunderstand and misinterpret words or phrases specific to your team or organization. Include these keywords and phrases in a custom vocabulary list to aid AI transcription.

About custom vocabulary lists
Account Owners and Admins can create custom vocabulary lists, which can be manually added or uploaded from a .csv file.
Your custom vocabulary list can contain:
- Up to 50 keywords or phrases
- Vimeo Enterprise users can add up to 1000 keywords or phrases.
- Keywords are limited to 34 characters or fewer.
- Phrases are limited to 12 words or less.
- Words and phrases must be letters only and cannot contain alphanumeric characters.
Locating the custom vocabulary list
The custom vocabulary settings are in the Vimeo AI section of your team settings page or in the Languages menu on a video’s settings page.
To access the custom vocabulary list:
- Navigate to your Team Settings page.
- Locate Custom Vocabulary under the Vimeo AI header.
- Select Manage.
You can also access the custom vocabulary list by selecting the Book icon at the top right of the Languages menu on a video's settings page.
Adding keywords and phrases to the custom vocabulary list
You can add keywords or phrases to the custom vocabulary list from Team Settings or the Languages menu directly from a video.
Adding custom keywords or phrases from Team Settings:
- Select Manage.
- Add words or phrases that are unique to your company to help Vimeo AI transcribe videos.
- You can add an individual word or phrase, selecting enter between each, or add a list separated by commas for words and phrases to separate automatically. Additionally, you can upload a CSV file with the words and phrases.

- You can download your custom vocabulary list by selecting the download icon.
- Select the X next to the word to remove a word or phrase from the list from the custom vocabulary or phrase.
- Select Save to save the list.
Adding custom keywords or phrases from the Languages menu
If you have a video with subtitles transcribed or uploaded to your own subtitles file, you can add words to your custom vocabulary list directly from the Languages menu on the video’s settings page.
To add and manage keywords or phrases from a video:
- Select a video from your library and select Manage to visit its settings page.
- Select Languages.
- Select the three vertical dots (⋮) to the right of the language file you’d like to edit.
- Select Edit.
- Locate the word/phrase in the transcript. Select it or highlight the text with your cursor to select multiple words or phrases.
- Select Add to Custom Vocabulary.
Replacing keywords
In the languages menu, you can replace all instances of keywords or phrases appearing in the video's subtitles.
To replace keywords:
- Select a video from your library and select Manage to visit its settings page.
- Select Languages.
- Select the three vertical dots (⋮) to the right of the language file you’d like to edit.
- Select Edit.
- Locate the word/phrase in the transcript. Select it or highlight the text with your cursor to select multiple words or phrases.
- Select Replace <number of> instances.
- Edit the word or phrase as needed, select whether or not to add to the custom vocabulary list, and select Replace.
⚠️Note: If you have subtitles in multiple languages, replacing the words and phrases in one file will not automatically replace them in the other languages. Each file will need to be updated for each language.
