You can sync your webinar registration form with HubSpot. This allows you to gather and evaluate leads from your Vimeo event within the desired list in HubSpot. As an Enterprise user, you can view each attendee's engagement activity within HubSpot, which helps you better understand their level of interest.

Video overview
Connect Vimeo to HubSpot
- From the events manager, select your webinar to enter the webinar management page.
- Select the Registration option on the right side, then click Customize form.
- Select Connect providers to open your account settings in a new window.
- Select HubSpot and agree to the terms regarding how you will use the emails collected before continuing.
- Once connected, refresh the webinar management page. You can then choose your email list directly within your webinar's registration settings.
Once you've connected HubSpot to your webinar, you will be able to:

Sync active or static lists to view lead generation data and submitted information in your chosen HubSpot list.
- Sync active or static lists from HubSpot into Vimeo to have all your leads in one place. When you sync from an active list into Vimeo, your attendees will filter out automatically based on the logic rules you've implemented in your HubSpot active list.
- (Enterprise only) Review viewer-level analytics from your event attendees, all in HubSpot
Engagement data for Contacts
Engagement data (watch time) can be found on the activities timeline within a Contact. Using this metric, you can see when and how your prospects engage with Vimeo video content. For videos, Vimeo passes the video title, time of registration, and watch time. For events, we pass the event name, time of registration, watch time, polls, selected poll responses, and any questions the contact asked during the event.
⚠️Note: If you set up the HubSpot CRM integration before October 2024, you will have to disconnect and reconnect to gain access to engagement data.

Limitations of HubSpot integration

Using static lists
- Since webinars read attendees from a static Hubspot list, if a webinar host re-imports the list at a future point, the fresh pull of duplicate data will get overwritten.

Data sync
- In your webinar timezone, CRM data will first start syncing at midnight. Then, it will continue to sync one hour before the start time, and every 15 minutes from the time the webinar begins. CRM data will stop syncing when the webinar ends or exceeds two hours. Therefore, last-minute arrivals registered on their Hubspot form may not be reflected in the platform.
Viewer-level analytics sync when you manually complete the webinar or one hour after it autocompletes (this occurs when Vimeo completes the webinar without your manual completion). Analytics syncs every five minutes; therefore, analytics should finish syncing after 25 minutes.

Already registered
- Currently, if an attendee registers through a HubSpot form, the integration cannot identify whether they've registered. Even if the webinar hosts import the HubSpot list, attendees will still need to sign in with their email when they click on "Already registered."

Registration form
- You, as the webinar host, will be unable to turn off the Vimeo registration form even if you use the HubSpot form for registration; attendees will still have to sign in through the Vimeo registration form to opt in to Vimeo's terms and conditions.
- There is no customization on fields, and progressive fields are not available.
- Lists are currently sorted by most recently modified.

- When looking at what lead source attendees came from, we offer four options:
- CRM (It shows the CRM icon and List name)
- CSV (it shows the CSV file name)
- API (It shows just API)
- Vimeo Form - (It shows all UTM params with Form)
- To access viewer-level analytics on HubSpot, they will show up in your Contacts lead properties.

For Enterprise accounts with Workspaces: While connections to social sites are user-specific, the ability to share and privacy settings can be configured and managed at both the Workspace and Organization levels, with Organization settings taking precedence.
